Human Factored Procedure Development

Many organizations utilize procedures to ensure a standardized approach for completion of the work being performed. Procedures allow for consistent and repeatable performance so that users are not basing actions upon past experiences, which may not include the complete picture and puts them in a position to make errors.

At DuraBante, we developed and use the GUIDE methodology for procedure and program development, which keeps the end in mind. It is effective in gaining alignment among all impacted personnel so that the product meets client requirements. Change management is part of the process that promotes accountability and sustainability.

DuraBante follows the guidance provided by the Procedure Professionals Association (PPA) in the development of “Human Factored” procedures. The techniques proposed by the PPA have been developed in direct response to research into errors performed as a result of the way in which a procedure was written.

To be effective, procedures must not only provide the list of actions needed to complete a task, but they must also be written in a format that minimizes the potential for confusion or misunderstandings regarding actions to be taken. They must also be written with the intended user in mind and an understanding of the planned users’ skill sets and responsibilities.

At DuraBante, we include the intended users in the development process, which ensures that procedures are written at the necessary level of understanding and incorporates expected skills.  Users provide insight as well as content so that the end product is a tool that meets the needs of those that will be using it.

While well-written Procedures are the end product, cultural impacts are the most challenging and critical element to a sustainable Procedure Program. Effective change management is not only critical, but is must be incorporated throughout the engagement to gain alignment and buy-in from the intended users of the documents. DuraBante has proven experience and approach that brings diverse teams together to obtain desired results that are repeatable and sustainable.
